Behind on Your Books What Bookkeeping Cleanup Actually Involves
Falling behind on bookkeeping is common, and the solution is not simply to import every transaction and assign a category. Cleanup means establishing what information can be trusted, identifying what is missing, rebuilding incomplete periods and leaving a clear starting point for ongoing work.
The amount of work depends on the condition of the records. Two businesses that are both six months behind may require very different cleanup efforts because one has organized statements and receipts while the other has duplicate entries, personal activity and unreconciled accounts.
Step one Establish the last reliable period
The first useful question is not how many months are missing. It is which month was last completed and reconciled. Each bank, credit-card, loan and clearing account may have a different status, so the assessment should not rely on one date without checking the supporting statements.
Step two Inventory the records and obligations
The cleanup inventory can include bank and credit-card statements, sales records, supplier invoices, receipts, loan documents, payroll information, GST/HST filings and previous year-end entries. CRA guidance recognizes both paper and electronic records and expects required business records to remain organized.
Step three Reconcile before interpreting
Reconciliation establishes whether the ledger agrees with external account statements. Categorization alone cannot prove that a period is complete. Missing transactions, duplicates, transfers and opening-balance issues need to be identified before reports are treated as reliable.
Step four Resolve exceptions with the owner
A cleanup project usually produces questions. The owner may need to identify a purchase, explain a deposit, provide a missing statement or confirm whether a transaction was personal. One clear list of questions is more efficient than sending scattered questions over several weeks.
Step five Coordinate the handoff
When the cleanup touches a filed period, tax return, payroll matter or accountant's year-end entries, the boundaries must be explicit. BAR can organize bookkeeping evidence and identify issues, but specialized tax, assurance and legal conclusions belong with the appropriate professional.
When bank feeds hide an unfinished period
Imagine a Brantford trades business that has current bank feeds but has not reconciled its credit card for eight months. The work may involve collecting each statement, locating duplicate or missing transactions, separating business and personal activity, matching available receipts, documenting unresolved items and confirming how the corrected period connects to previous filings.
The owner can help by collecting the statements and answering a consolidated list of questions. The bookkeeper can identify the last reliable balance, investigate the differences and document what remains open. Before changing entries in a period already used for a filing, the relevant professional should be involved. Completing categories in the bank feed alone would not resolve those issues.
How long and how much will cleanup cost
At BAR, cleanup is assessed separately after an initial review and estimated as a range of hours. How far the books are behind, the number of accounts, missing documents and the state of QuickBooks all affect the work. If new information significantly changes the scope, we discuss a revised range before going substantially beyond the hours you approved. See our monthly bookkeeping packages for the current cleanup and onboarding terms.
What good cleanup should leave behind
- A documented cutoff date and known reconciliation status for each account
- A list of outstanding questions rather than silently guessed entries
- Organized supporting records and an agreed monthly collection process
- A clear handoff for ongoing bookkeeping and the year-end accountant
